Position Summary:

The Administrative Director position is responsible for overall location headquarters activities. This position is also responsible for staffing all Brooklyn cases with BCBAs.  The Administrative Director coordinates front office activities, including the reception area, mail, large purchasing requests and facilities. The Administrative Director is also responsible for directing and coordinating office staffing, office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. The administrative Director is responsible for community outreach this includes developing and cultivating relationships and opportunities in in that locale.   Responsible for arranging internal office moves and providing arrangements for office meetings.

 

Essential Functions:

  • Places BCBAs on Brooklyn cases

  • Manages the office staff to ensure effective and efficient office operations

  • Staffs open administrative positions

  • Arranges and attends community outreach and networking events

  • Ensures that telephone and mail communications both internally and externally maintain a professional image

  • Supervises and coordinates overall administrative activities 

  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.

  • Supervises the maintenance of office equipment, including copier, fax machine, etc.

  • Responsible for the facilities day-to-day operations

  • Participates as needed in special department projects

Staffing Coordinator

Position Summary:

The Staffing Coordinator position is chiefly tasked to staff Brooklyn Paraprofessional positions. Networking, marketing and promoting the organization is necessary to create a pipeline of qualified candidates.  The Staffing Coordinator is responsible for interviewing candidates and matching them to cases that fit their unique skill set and disposition. This position must possess considerable skill in interviewing techniques, a good knowledge of all Brooklyn clients and their families as well as strong ability to understand the needs of each client. 

 

Essential Functions:

  • Communicates with Client Advocates to understand the unique needs of the clients

  • Identifies the specific strengths of each provider

  • Acts as liaison with area employment agencies, college careers services departments and advertising agencies

  • Screens and interviews applicants

  • Ensures that each candidate is saved properly on Proud Moments software 

  • Matches the needs of each client with a Paraprofessional

  • Extends verbal job offers

  • Updates the status of each provider in the system

  • Attends Job Fairs and works with employment agencies to create a pipeline of qualified candidates

Finance Associate

Position Summary:

The Finance Associate is chiefly tasked to maintain accurate financial records and to be involved in both Accounts Payable and Accounts Receivable functions. The Accounts Payable aspect of the role necessitates completing payments and controlling expenses by receiving, processing, verifying, and reconciling invoices. The Accounts Receivable element of this position involves collecting funds from the health insurance companies. This role directly reports to the Finance Director.

Essential Functions:

  • Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices

  • Approves purchases for all corporate locations

  • Manages corporate credit cards

  • Charges expenses to accounts by analyzing invoice/expense reports; recording entries

  • Pays vendors by preparing checks

The Cost Sharing Manager provides cost sharing solutions to our clients. The Cost Sharing Manager successfully resolves In Network and Out of Network patient financial responsibilities. This involves follow-up and account resolution, and includes communication to client families, reimbursement vendors, and other external entities while adhering to all client, state and federal guidelines. Client satisfaction is essential.

Authorization Coordinator​

Position Summary:

The Authorization Coordinator is responsible for verifying authorization and eligibility of benefits on potential clients. The Authorization Coordinator is responsible for the authorizations for all Proud Moments Clients in all locations. The Authorization Coordinator indicates co-pays and deductibles in clients’ records.  The Authorization Coordinator provides ongoing patient benefit information, secures authorizations for all pay sources, verifies eligibility with all applicable pay sources and determines in or out of network benefits. The Authorization Coordinator also requests appropriate clinical documentation and conveys insurance authorization mandates to the Assessments team. The Authorization Coordinator reports to the CEO/President, the COO and the Clinical Director.

 

Essential Functions:

  • Commits self to providing excellent customer service and demonstrates commitment through cooperative team and individual efforts

  • Ensures that patient demographic, insurance information, verification and eligibility have been established and documented

  • Responsible for obtaining financial clearance

  • Verifies patient insurance eligibility for each client in advance of service 

  • Documents and communicates insurance problems/discrepancies; contacts patients to receive updated insurance information or correct issues.

Job Requirements:

  • Prior Insurance Authorization experience in healthcare is necessary

  • Prior Medical Billing experience is preferred

Summary

A Board Certified Behavior Analyst ("BCBA") or Licensed Behavior Analyst (“LBA”) is responsible for the design, implementation and evaluation of environmental modifications, using behavioral stimuli and consequences, to produce socially significant improvement in human behavior, including the use of direct observation, measurement and functional analysis of the relationship between environment and behavior, pursuant to a diagnosis and prescription/order from a person who is licensed or otherwise authorized to provide such diagnosis and prescription/ordering services, for purpose of providing behavioral health treatment for persons with autism, autism spectrum disorders and related disorders.

Essential Duties and Responsibilities

Core duties and responsibilities include those set forth below. Other Proud Moments tasks may be assigned.

• Conducts descriptive and systematic behavioral assessments, including functional analyses, and provides behavior-analytic interpretations of the results.

• Designs and supervises behavior-analytic interventions.

• Effectively develops and implements appropriate assessment and intervention methods for use in unfamiliar situations and for a range of cases.

• Teaches others to carry out ethical and effective behavior-analytic interventions based on published research and designs, and delivers instruction in behavior analysis.

• Seeks the consultation of more experienced practitioners when necessary.

• Notify Proud Moments office of any issues or concerns related to any case.

• Submit all session notes and treatment plans in a timely manner.

• Submit time sheets on a timely basis using accepted coding as trained by Proud Moments.

• Make sure that all Proud Moments persons servicing your client collect good data in accordance with PM policies.

Supervisory Responsibilities

Each BCBA/ LBA shall supervise the work of Certified Behavior Analyst Assistants (BCABAs), ABA Paraprofessionals Registered Behavioral Technicians (RBTs), and others who participate in the rendering of behavior- analytic services. This includes direct supervision, updating of treatment plans and assessment of appropriate data being collected. Supervision shall be 1:1 . In addition, face to face parent training and treatment planning may be required.

Qualifications

Possess active, valid and unrestricted certificate/ license to perform Licensed Behavior Analyst services in the State where services are being provided. Must supply evidence of current malpractice insurance and continue to provide evidence of license and malpractice renewals as required by law.
